Incoterms for Clothing Buyers: EXW, FOB, CIF and DDP Explained

Incoterms for Clothing Buyers: EXW, FOB, CIF and DDP Explained

Wholesale leather jackets ready to ship, illustrating Incoterms for clothing buyers

When a supplier quotes "FOB" or "DDP," the price only makes sense if you know what those letters cover. Incoterms decide who pays for freight, who arranges it, and when the goods become your responsibility. This plain guide to Incoterms for clothing buyers explains the common terms and what to confirm before you approve a wholesale quote.

Quick answer: Incoterms for clothing buyers set who pays for freight, insurance and duties, and where risk passes. EXW and FOB leave most shipping and import work to you, while DDP delivers to your door with duties paid. Always confirm the exact term and named place in your quote.

What are Incoterms?

Incoterms are a set of standard trade terms published by the International Chamber of Commerce. The current edition, Incoterms 2020, has eleven rules. Each one is a three-letter code that tells the buyer and seller:

  • who arranges and pays for each leg of transport;
  • where the risk of loss or damage passes from seller to buyer;
  • who handles export and import clearance.

Incoterms do not set the price of the goods, transfer ownership or replace your contract. They simply split the delivery tasks so both sides read the quote the same way. The Incoterms article on Wikipedia lists all eleven rules if you want the full set.

Incoterms for clothing buyers: the terms you will see most

Most wholesale apparel quotes use a handful of terms. Here is what each one means in practice, starting with the least work for the seller and ending with the most:

Term Seller's job ends What the buyer handles
EXW (Ex Works) Goods are ready at the seller's premises Pickup, export clearance, all freight, import duties and delivery
FCA (Free Carrier) Goods handed to the buyer's carrier, export cleared Main freight, import duties and delivery
FOB (Free On Board) Goods loaded on the vessel at the named port Ocean freight, insurance, import duties and delivery
CIF (Cost, Insurance and Freight) Seller pays freight and basic insurance to the destination port, but risk passes at loading Unloading, import duties and delivery
DAP (Delivered at Place) Goods arrive at the named place, ready to unload Import clearance and duties
DDP (Delivered Duty Paid) Goods delivered, import cleared and duties paid Unloading and receiving

Note that FOB and CIF are meant for sea and inland waterway shipments. For air freight and courier parcels, which many smaller clothing orders use, terms such as FCA, CPT, DAP or DDP are the better fit.

Why the "risk" point matters

Cost and risk do not always move together. Under CIF, for example, the seller pays for freight to your country, yet the risk passes to you once the goods are loaded at origin. If cartons are damaged at sea, you deal with the insurance claim. That surprises many first-time importers.

For high-value goods like leather jackets, knowing where risk passes helps you decide whether you need extra cargo insurance and who should file a claim if something goes wrong.

EXW and FOB vs DDP: which is easier for a small store?

EXW and FOB quotes can look cheaper, because freight, clearance and duties are not included. But someone still has to arrange and pay for them, and for a boutique or a new brand that usually means hiring a freight forwarder and a customs broker.

DDP moves most of that work to the seller. The goods arrive at your door with import duties paid, so the price you approve is much closer to your true landed cost. Our guide to what DDP shipping means for wholesale buyers goes deeper into how it works.

As a rule of thumb:

  • Choose DDP if you want one all-in price and minimal paperwork, which suits most boutiques and startup brands.
  • Consider FOB or FCA if you already have a forwarder, ship large volumes and want control over freight.
  • Be cautious with EXW unless you have experience, since it leaves almost every task to you.

How White Buraq ships wholesale orders

For US addresses, orders ship duties paid (DDP). For other destinations we ship worldwide, and freight, duties and taxes are agreed up front so there are no surprises on arrival. Import rules and duty treatment vary by product and destination, so we cover them in your quote rather than giving general advice. If you need customs guidance for your business, a licensed customs broker is the right person to ask.

Leather lead time depends on design, materials, quantity and decoration, and it is confirmed in writing with the quote, along with quantity, sample fee, price, payment, freight and duties.

What to confirm in a wholesale quote

Whatever term you use, write it down clearly and check these points before you approve:

  1. The exact Incoterm and edition, for example "DDP, Incoterms 2020."
  2. The named place, such as your store or warehouse address.
  3. What the price includes: goods, sampling, packaging, freight, insurance, duties and taxes.
  4. Who books the carrier and who receives tracking.
  5. Who handles damage claims and what insurance covers.
  6. Packing details: carton count, garment bags and labeling, which affect freight cost.

Receiving the shipment

Even under DDP, the receiving step is yours. Count the cartons against the packing list before signing, note any visible damage on the delivery receipt, and open and inspect the goods promptly. Our checklist on how to inspect wholesale leather jackets covers what to look for. Knowing how each jacket is built, as shown on our how it's made page, also helps your team spot issues quickly.

Planning an order? The minimum order is 5 pieces per style, with sizes mixed as needed. A sample is made before every new style, and production starts only after your written approval.

FAQ

What is the most common Incoterm for clothing imports?

FOB is common for sea freight from larger suppliers, while small and mid-size buyers often prefer DDP because it gives one delivered price with duties included.

Does DDP mean I pay nothing on arrival?

Under DDP, the seller pays import duties and handles clearance, so the agreed price should cover delivery to your named place. Confirm in your quote exactly which taxes and fees are included.

Do Incoterms decide when I own the goods?

No. Incoterms cover delivery tasks, costs and risk. Ownership and payment terms are set in your sales contract.

Can I use FOB for air shipments?

FOB is designed for sea and inland waterway transport. For air or courier shipments, FCA, CPT, DAP or DDP fit better.
