How to Inspect Wholesale Leather Jackets When Your Order Arrives

A wholesale delivery is the last point where you can catch a problem before it reaches your shop floor. This guide shows a store owner or receiving clerk how to inspect wholesale leather jackets step by step, from the cartons at the door to the last snap on the last vest, and how to write up anything that does not match your order.

Quick answer: Before signing, check carton condition and count cartons against the delivery paperwork. Then count pieces by style, color and size against the packing list, and check each jacket against your approved sample: leather surface, color, stitching, hardware, lining, labels and measurements. Photograph anything that differs and email it with your order number.

What should you have ready before the delivery arrives?

An inspection is only as good as the reference you check against. Gather these before the truck shows up:

  • The approved sample. A sample is made before every new style, and production starts only after your written approval. That piece is your benchmark for leather, color, hardware and finish, so keep it in the stockroom.
  • The written order and spec. Styles, quantities per size, your size chart, colors with their WB-C codes, and where each label, hang tag or embossed logo should sit. The leather color chart with WB-C codes helps you confirm the right shade.
  • Good light and space. Daylight or neutral white light makes color checks far more reliable than a dim back room.
  • Simple tools. A soft tape measure, a phone camera, broad shaped hangers and an empty rail.

What should you check at the door before you sign?

Start with the outside of the shipment, ideally while the driver is still there.

  • Count the cartons and match the number to the delivery paperwork.
  • Look for crushed corners, tears, water marks, or tape that looks opened and resealed.
  • Photograph any damaged carton from a couple of angles with the shipping label visible.
  • Note visible damage or a missing carton on the delivery receipt before you sign. This is common receiving practice and gives you a record.

How do you count a leather order against the packing list?

Open one carton at a time so pieces from different boxes do not get mixed. For each carton:

  • Match the carton number to the packing list.
  • Count pieces by style, then color, then size, and tick each line as you go.
  • Compare the packing list with your own purchase order too. The list records what was packed; your order records what you agreed.
  • Mark shortages, extra pieces or wrong sizes on the list right away, with the carton number.

Leave pieces bagged until the count is done so sizes stay together.

How do you inspect wholesale leather jackets piece by piece?

Once the count is right, look over every garment and give a few per size a slower check. Work in the same order each time so nothing gets skipped.

Is it natural character or a defect?

Genuine leather comes from individual hides, so no two panels are identical. Use this as a rough guide:

The garment checklist

  1. Leather surface. Check every panel, including under the collar and around the cuffs, using the table above.
  2. Color match. Hang the piece beside the approved sample in the same light. Expect slight variation between hides, but look for anything that reads as a different color, and for panels that clash within one garment.
  3. Stitching and seams. Stitch lines should be straight and even, with no skipped stitches, loose ends or puckering. Pull gently at pocket corners and underarms.
  4. Zips, snaps and buckles. Run each zip its full length, close every snap and fasten each buckle. Hardware should operate smoothly and match the approved finish.
  5. Lining and pockets. Look inside. The lining should sit flat with no tears or open seams, and pocket bags should be closed and securely sewn.
  6. Labels, hang tags and embossing. Confirm your neck labels, hang tags and logo embossing appear where the spec says, straight and correctly sized.
  7. Measurements. Lay a few pieces per size flat and measure chest, body length, sleeve and shoulder against your size chart. If one looks off, measure more in that size.
  8. Smell and finish. A new jacket has a natural leather smell. Note anything that smells strongly of chemicals, mildew or damp, and any finish that feels tacky.

What should you do once the jackets are checked?

Take each piece out of its poly bag. Bags protect leather in transit, but genuine leather needs air, and a sealed jacket can hold moisture and packing smells.

  • Hang jackets on broad, shaped hangers that support the shoulders. Thin wire hangers can leave marks.
  • Give pieces space on the rail so air moves around them.
  • Let packing creases settle as the jacket hangs rather than applying heat.

How should you store leather stock in the shop?

  • Keep it out of direct sun, including sunny windows, which can fade and dry leather over time.
  • Keep it away from heaters, vents, hot lights and other heat sources.
  • Use breathable fabric covers for back-room stock, not plastic.
  • Choose a cool, dry spot; damp storerooms invite mildew.

How do you record and report a problem with your order?

If something does not match your order or approved sample, write it up while the pieces are in front of you. Include:

  • Your order number and the carton number.
  • Style, color with its WB-C code, size, and how many pieces are affected.
  • Photos of the whole garment, a close-up of the issue, and the size label or hang tag.
  • A short note of what differs from the approved sample or written spec.
  • Photos of carton damage and the signed delivery receipt, if relevant.
